Manage Outlook app configuration for Android with Hexnode

Set up the Microsoft Outlook app configuration for Android devices via Hexnode UEM.

Organizations widely rely on Microsoft Outlook for enterprise interactions. The Microsoft Outlook app goes beyond mere email communication, offering additional options that enhance its user-friendliness while ensuring corporate compliance. However, manually configuring the app for all users within an organization may not be practical.

In such instances, Hexnode’s App Configurations policy for Android proves invaluable. Administrators can define the necessary settings for the application and effortlessly apply the required configuration to the devices. These configurations encompass not only account setup like specifying the usernames and domains but also encompass additional settings such as Calendar Sync or Default Signature. Once the App Configurations policy is deployed to the device and the app is installed, the Outlook application is prepared for the user to take over.

Deploy Outlook for Android app configuration settings

Follow the below steps to configure the Microsoft Outlook app for Android devices:

Prerequisite:

  1. Navigate to the Policies tab.
  2. Create a new policy or select an existing policy.
  3. Choose Android > App Management, select App Configurations.
  4. Click on Configure and + Add new configuration button to select a work app and configure it.
  5. Use the search bar to search for the Microsoft Outlook app.

  6. Click on the Select button to choose the app to configure.
  7. The app configuration screen is displayed with all the available fields & settings that can be configured for the Outlook application. The following table presents all the available configurations for the Outlook app.
  8. Fields Description

    email address

    Provide the e-mail address of the device user in this field. The email address provided here will be auto filled when the user opens the Outlook app for the first time.

    description for account

    Provide a description for the email account.

    exchange server url

    Provide the Exchange server address to set up your email as an Exchange account. For example, outlook.office365.com.

    domain of user account

    Provide the domain name of your user’s email account. For example, outlook or gmail.

    username

    Provide the username of the Exchange account.

    server authentication method

    Provide the server authentication method as “Username and Password”. When this field is mentioned, the user must authenticate their account with the password while signing in.

    Allowed Accounts

    Specify the accounts that can be used to sign into the app. Any other account not mentioned in this field will be unable to sign into the app.

    account type

    Provide the Account Type for the Exchange account. The possible values are BasicAuth Exchange On-Premises and ModernAuth for Exchange Online.

    Block external images

    Enable this option to prevent automatic download of images from external websites. However, the users can still manually download the images. By default, this option is disabled.

    Disabling this option will prevent the user from modifying the above-mentioned Block external images setting. By default, this option is enabled.

    Show external recipients MailTip

    Specify whether to enable or disable the External Recipients MailTip. Enabling this option will notify the end-users with informative tips (if a potential problem is detected) while sending messages to external domains. By default, this option is enabled.

    Focused inbox

    Enabling this option will categorize your inbox into two tabs: Focused and Other. The former contains the most important emails, while the latter contains other emails. By default, this option is enabled.

    Show Discover

    Enable this option to show the Discover Feed, which displays Office files belonging to the user and their coworkers. By default, this option is enabled.

    Contact sync enabled

    Enable this option to allow syncing of Outlook contacts on the managed device. By default, this option is enabled.

    Disabling this option will prevent the user from modifying the above-mentioned Contact sync setting. By default, this option is enabled.

    Default signature enabled

    Enable this option to utilize the default Microsoft Outlook signature when composing messages. However, users can still add their own signature even if this option is disabled. By default, this option is enabled.

    Suggested replies enabled

    Enable this option to allow Microsoft Outlook to provide users with pre-composed responses in the quick reply compose view. By default, this option is enabled.

    Disabling this option will prevent the user from modifying the above-mentioned Suggested replies setting. By default, this option is enabled.

    S/MIME setting

    S/MIME, which stands for Secure/Multipurpose Internet Mail Extensions, is an encryption protocol utilized for digitally signing and encrypting emails. This ensures email authentication and prevents content alteration. Enable this option to grant users the ability to send messages that are digitally signed and encrypted. By default, this option is disabled.

    Note: S/MIME settings are only configurable for accounts that support it. If you do not see the “Security” option for your account on the device, it is possible that your account type or email provider does not support S/MIME. In such cases, the S/MIME configurations set here will not have any effect on the app.

    Disabling this option will prevent the user from modifying the above-mentioned S/MIME setting. By default, this option is enabled.

    S/MIME always sign setting

    Enable this option to consistently apply digital signatures for verifying the identity of email senders. By default, this option is disabled.

    S/MIME always encrypt setting

    Enable this option to always protect your email content with encryption. By default, this option is disabled.

    S/MIME LDAP server address

    Provide the LDAP server address. If users are utilizing external LDAP servers to fetch private keys while S/MIME is enabled, this field becomes necessary.

    Organize by thread

    Enable this option to consolidate related emails into a single threaded conversation. By default, this option is enabled.

    Play My Emails

    Enable this option to grant users the ability to utilize this feature, enabling them to listen to the read-out of new emails and upcoming events. By default, this option is enabled.

    Show Your Pride setting

    Enable this option to allow users to add rainbow colour theme to the elements of Outlook. By default, this option is enabled.

    Text predictions enabled

    Enable this option to permit users to access Outlook’s Text Prediction feature while composing email messages, allowing them to view suggested text as they type. By default, this option is enabled.

    Text predictions (user change allowed)

    Disabling this option will prevent the user from modifying the above-mentioned Text predictions setting. By default, this option is enabled.

    NPS surveys enabled

    Enable this option to allow NPS (Net Promoter Score) surveys in Outlook. By default, this option is enabled.

    Message reminders enabled

    Enable this option to allow message reminders in Outlook. By default, this option is enabled.

    Message reminders (user change allowed)

    Disabling this option will prevent the user from modifying the above-mentioned message reminders setting. By default, this option is enabled.

    Teams apps in Outlook

    Enable this option to allow users to integrate the Microsoft Teams app as an add-in within Outlook. By default, this option is enabled.

    MIP Mandatory label

    MIP stands for Microsoft Information Protection (MIP). Sensitivity labels from the MIP solution allow you to classify and protect your organization’s data, ensuring that user productivity and collaboration are not hindered. Enable this option to permit users to add mandatory sensitivity labels to their emails while composing them. By default, this option is disabled.

    OEM push enabled

    Enable this option to allow OEM push notifications

    Video Capture and Upload to OD

    Enable this option to allow users to capture and upload videos in emails, utilizing OneDrive storage capabilities. By default, this option is enabled.

    Open links use system default browser

    Outlook’s ‘Open Links’ feature allows you to open hyperlinks within emails using Microsoft Edge, and as a result, opens the Outlook email in the Microsoft Edge sidebar pane. This allows you to view both the link and the email or chat side by side. To disable this feature and open any hyperlinks in your emails using your default browser, enable this option. By default, this option is disabled.

    Disabling this option will prevent the user from modifying the above-mentioned Open links setting. By default, this option is enabled.

    Block delegate mailbox sharing

    Enable this option to prevent others from having delegate access to your email, creating email messages, or responding to meeting requests on your behalf. By default, this option is disabled.

    Block calendar sharing

    Enable this option to block the sharing of Calendars in Outlook. By default, this option is disabled.

  9. Once you have completed configuring the available options for the Outlook app, click Done > Add.

Associating the App Configurations policy with devices

If you haven’t saved the policy yet, you can

  1. Go to the Policy Targets tab within the policy.
  2. Click on + Add Devices.
  3. Search and select the devices to which the policy needs to be associated with and click on OK. You can also associate policies to Device Groups, Users, User Groups or Domains from the left pane underneath the Policy Targets tab.
  4. Save the policy to associate the policy to the device.

If you have saved the policy,

  1. From your Policies tab, check the policy.
  2. Select Associate Targets from Manage.
  3. Select the devices and click on Associate to get the policy associated with these devices.
